Vendor Evaluation

A Weighted, Objective Way to Choose Your Next Martech Platform

Pinpoint builds the scoring model, runs the RFP, and stress-tests every finalist against your own environment — then hands you a weighted, normalized score. You still make the call.

Whoever ran the best demo≠
the right platform

The scoring model gets built and weighted before any vendor presents. Must-haves carry more weight than nice-to-haves, so polish on the demo floor can't cover a missing capability that would fail your actual environment.

THE PROCESS

We manage the mechanics - you pick the winner

01

Scorecard build

Facilitated sessions with your stakeholders translate business-functional requirements into a weighted scoring model. The scorecard is never shared with vendors — it stays internal for the life of the process.

02

RFP

A questionnaire mapped directly to the scoring matrix. Every response maps to a specific weighted score category, so every vendor is judged on the same axis.

03

Downselect

Typically 8–10 vendors make the first round based on RFP scoring, narrowed to 2–3 finalists who move to proof of technology.

04

Proof of technology

Finalists solve 2–3 scenarios drawn from your actual operations. A vendor that can't handle a scenario is flagged for disqualification, not scored around.

05

Due diligence

Financial stability, licensing terms, and patch/hotfix cadence get checked before contract — not discovered after signature.

06

Weighted score, delivered

You get the raw RFP responses from every vendor plus a normalized, weighted score. Pinpoint doesn't tell you who wins.

What Pinpoint stays out of

  • The decision itself. We hand back data and findings, not a recommendation.
  • Direct vendor contact with your business stakeholders. All vendor communication routes through one point of contact, so no vendor sells around the evaluation team.
  • Processes where the outcome is already decided. If a client has a preferred vendor and needs competitors for appearances, we decline the engagement.
"You still need to do the hiking. We're the trail guide — we get you through procurement and integration hurdles most internal teams can't navigate alone, but the decision at the end is yours."
— Ty Burger, CEO, Pinpoint Systems

Questions we get from martech teams

What does Pinpoint deliver in a vendor evaluation?

A weighted scorecard, the raw RFP responses from every vendor evaluated, proof-of-technology results against your own scenarios, and a due diligence report covering financial stability, licensing terms, and patch cadence.

Do you pick the vendor for us?

No. Pinpoint acts as an impartial third party — we build the scoring model, run the process, and hand back the data. Your team makes the final call.

How long does a vendor evaluation take?

A full RFI-to-downselect cycle typically runs 20–26 weeks depending on scope, with roughly a third of that time spent on proposal evaluation.

How is this different from hiring an implementation partner?

An implementation partner helps you build on a platform you've already chosen. Pinpoint runs the process that chooses it, before you're committed to an ecosystem.
